Cash has not gone away. Boutiques, tuition classes, repair shops, clinics, caterers and small traders still take a large share of payments in notes, and every one of those payments should end with a receipt. A receipt with a running serial number is what makes a cash book auditable: your accountant can see that receipts 41, 42 and 43 exist, add up the day, and match the total against the cash deposited. Without numbering, cash sales blur into each other and a single dispute over whether a customer paid the balance becomes your word against theirs.

This tool issues a proper cash receipt in the format Indian businesses expect: receipt number, date, received from, amount in figures and in Indian words, towards, mode of payment marked as cash, an optional balance due, and a signature line. The serial number is stored in your browser and advances automatically every time you print, so consecutive receipts do not collide. When the amount is above Rs 5,000 the receipt shows a box for the one-rupee revenue stamp that the Indian Stamp Act requires on cash receipts of that size.

How to use the cash receipt generator

  1. Enter your business name once. It is remembered in this browser along with your receipt prefix and signature label.

  2. Check the receipt number. The default prefix uses the current financial year (for example CR/26-27/) and the serial starts at 0001; change either if you are continuing an existing series.

  3. Fill in received from, the cash amount, the date and what the payment is towards, such as a bill number or a service.

  4. Add a balance due if this is a part payment, then click Preview receipt to check the amount in words.

  5. Click Print / save as PDF. The serial advances automatically for the next receipt. Use Copy as text to send a plain-text version on WhatsApp.

Why this matters for your business

Cash needs the strongest paper trail. A bank transfer leaves a record on both sides by itself. Cash leaves nothing unless you create the record, and a numbered receipt is the standard way to do that.

Numbered receipts make the cash book reconcile. The day total of receipts should equal cash in the drawer plus deposits. Gaps in the sequence show missing receipts before an auditor finds them.

Income tax rules watch cash closely. Section 269ST bars receiving Rs 2 lakh or more in cash from a person in a day or for one transaction, with a penalty equal to the amount. Section 40A(3) disallows cash expenses above Rs 10,000 for the payer. A clear receipt protects both sides.

Tips for better results

  • Do not reuse a serial. If a receipt is cancelled, keep the number, write cancelled across it and issue the next serial for the corrected receipt.
  • Start a new prefix each financial year, such as CR/26-27/, so the series restarts cleanly on 1 April and matches your books.
  • Affix a one-rupee revenue stamp across the signature on cash receipts above Rs 5,000; the receipt shows a placeholder box when this applies.
  • For a part payment, fill the balance due field so the customer sees what remains and your staff do not have to work it out from the bill.
  • A cash receipt is not a tax invoice. If the sale is a GST supply, raise a tax invoice or bill of supply and treat this receipt as the payment acknowledgement.
  • Keep the printed duplicate or the PDF for at least 6 years; that is the period for which books are normally required under the Income-tax Act, and longer under GST if a notice is pending.

A real-world walkthrough

A boutique in Karol Bagh sells two kurta sets for Rs 6,500. The customer pays Rs 4,500 in cash and will collect the altered pieces and pay the balance next week. The owner opens this tool, which already shows her shop name and the next serial CR/26-27/0042, enters the customer name, Rs 4,500, "Bill no. 118, two kurta sets" and a balance due of Rs 2,000.

She previews the receipt, sees it reads "Rupees Four Thousand Five Hundred Only" with the balance shown below, and prints it on A5. The serial advances to 0043 for the next customer. When the customer returns, the owner issues receipt 0047 for the Rs 2,000 balance and writes "Balance on bill no. 118" in the towards line. Her month-end cash book shows two numbered receipts adding up to the bill, and nothing to explain.

Frequently asked questions

What should a cash receipt in India contain?

A usable cash receipt carries a serial number, the date, the name of the person paying, the amount in figures and in words, what the payment is for, the mode of payment (cash), the name of the business receiving it and a signature. If the payment is partial, it should state the balance still due. For amounts above Rs 5,000 a one-rupee revenue stamp is customary and, under the Indian Stamp Act, required on receipts as evidence of payment. This tool includes every one of those elements and adds the revenue stamp box automatically above that threshold. Add your GSTIN in the business name field if your customers regularly ask for it, though a cash receipt is not a substitute for a tax invoice.

How does the automatic receipt numbering work?

The tool keeps a small record in your browser storage (localStorage) with your prefix, your business name, the signature label and the next serial number. Each time you click Print, the current serial is used on the receipt and the stored counter moves forward by one, so the next receipt you issue on the same browser continues the sequence. If you preview without printing, the number does not advance. The counter lives only in that browser: a different laptop, a different browser or a cleared browsing history will start again from 0001, so if more than one person issues receipts, either use one shared device or give each a different prefix such as CR/A/ and CR/B/. Use the Reset numbering button at the start of a new financial year.

Is a revenue stamp compulsory on a cash receipt?

Under Article 53 of Schedule I of the Indian Stamp Act, a receipt for an amount exceeding Rs 5,000 attracts a stamp duty of one rupee, paid by affixing a revenue stamp that the recipient signs across. In practice this applies to cash receipts and to receipts given for cheques and drafts, and it is widely followed by shops, landlords and professionals. Where a receipt is not stamped, the main consequence is that it may not be admitted as evidence in court unless the duty and a penalty are paid later; it does not make the payment itself invalid. Many state amendments keep the threshold at Rs 5,000, though you should confirm the position in your state. The tool prints a dashed stamp box whenever the amount crosses Rs 5,000 as a reminder.

Is there a limit on how much cash a business can accept?

Yes. Section 269ST of the Income-tax Act prohibits any person from receiving Rs 2,00,000 or more in cash in aggregate from one person in a day, in respect of a single transaction, or in respect of transactions relating to one event or occasion. The penalty under Section 271DA equals the amount received. The rule looks at the receiver, so a shop that accepts Rs 2 lakh in cash for a single bill, even across several receipts on the same day, is exposed. Separately, Section 40A(3) means the payer cannot claim a cash expense above Rs 10,000 to one person in a day as a business deduction, which is why business customers increasingly insist on paying larger amounts by transfer. The tool shows a warning when the receipt amount reaches Rs 2 lakh.

Is a cash receipt the same as an invoice or bill?

No. An invoice or bill records a sale and what is owed; a receipt records that money has been received. Under GST a registered supplier must issue a tax invoice or a bill of supply for the sale, and the cash receipt then acknowledges the payment against it, which is why the towards line on this receipt is meant to carry the bill number. Unregistered small businesses that only issue a bill of sale still benefit from a separate receipt for part payments and advances, because it states clearly what has been paid and what remains. Can I print two receipts on one page or use my letterhead?

Choose A5 as the paper size and, in the browser print dialog, set pages per sheet to 2 to get two receipts on one A4 sheet, which is the layout most receipt books use. For letterhead, pick A4 and load your pre-printed paper; the receipt is laid out with margins so the header area stays clear, and you can leave the business name field short so it does not repeat what the letterhead already shows. On Chrome, Edge, Safari and Firefox the same dialog lets you select Save as PDF instead of a printer, which is how you keep a digital duplicate of every receipt.

Does the tool store my customer names or amounts?

Only your own settings are stored: the business name, the prefix, the signature label and the running serial number, all in your browser localStorage so that you do not retype them. Customer names, amounts and the towards text are used just to render the receipt and are not saved anywhere or sent to any server. When you close the tab they are gone, so print or save the PDF before moving on. Because everything runs locally, the tool keeps working once the page has loaded even if your shop internet drops.
