How to use the payment receipt generator

  1. Enter your business name or the name of the person receiving the payment, and a receipt number for your records.

Tips for better results

  • Number receipts sequentially, like RCPT/2026/07/045, so gaps or duplicates are easy to spot during reconciliation.
  • Always record the payment mode. A cash receipt and a bank transfer receipt should never be indistinguishable in your records.
  • Be specific in the purpose field. "Advance for Order #204" is far more useful later than a vague "Payment received".
  • For cash receipts above Rs 5,000, check whether a revenue stamp is customary in your context, similar to rent receipts.
  • This is a payment receipt, not a tax invoice; if GST applies to the underlying sale, issue a proper tax invoice separately.
  • Keep a digital copy of every receipt you issue, ideally in the same folder as the invoice or quotation it relates to.

A furniture workshop in Jaipur takes a 50 percent advance from a customer ordering a custom dining table priced at Rs 30,000. The customer pays Rs 15,000 via UPI on the spot. What is the difference between a payment receipt and an invoice?

A payment receipt confirms that money has actually been received, showing who paid, how much, when, by what mode, and what it was for, whereas an invoice, particularly a GST tax invoice, is a demand for payment issued for a supply of goods or services, often before the money has actually changed hands, and carries specific tax compliance details like GSTIN and HSN codes when applicable. In practice, many transactions involve both: you might issue an invoice for a sale, and once the customer pays, issue a separate payment receipt acknowledging that specific payment, especially useful for advances, part-payments, or purely cash based transactions where a formal tax invoice may not be immediately required. Do I need to issue a receipt for every payment I receive?

There is no single blanket legal rule that mandates a receipt for absolutely every payment across all business types, but issuing one consistently is strong business practice and, for many kinds of transactions, particularly cash payments, advances, and part-payments, is expected or required by your customers, by state Shops and Establishments regulations, or by your own accounting discipline. For any payment that is not immediately and fully covered by a formal GST tax invoice, an advance before you deliver goods or services, a cash sale at a small retail counter, or a partial payment against a larger order, issuing a payment receipt closes the loop clearly for both sides and gives you a clean paper trail for your own bookkeeping and reconciliation. As a simple habit, treat every payment you receive, regardless of amount or mode, as worth a receipt, since the two minutes it takes to generate one is far cheaper than a later dispute over whether or how much was paid.

Can I use this receipt as proof for tax purposes?

A payment receipt from this tool documents that a payment was received, which is useful supporting evidence for your own bookkeeping and for resolving disputes with a customer, but it is not a substitute for a formal GST tax invoice when one is legally required for the underlying sale of goods or services. If your customer needs to claim input tax credit, or if the transaction is one where GST law requires a tax invoice, you should issue a proper Rule 46 compliant tax invoice, ideally through a dedicated tool like our GST invoice generator, in addition to or instead of a plain payment receipt. Why does the receipt show the amount in words?

Writing out the amount in words alongside the numeral is a long-standing convention on formal Indian receipts and financial documents, and it exists to prevent a figure from being misread or altered after the document is issued. A numeral like 15,000 can, in principle, be tampered with more easily than a spelled-out phrase like Fifteen Thousand Rupees Only, which is much harder to quietly change without the alteration being obvious. This convention is especially valued in traditional Indian business practice, on cheques, on hand-written vouchers, and on receipts for larger amounts, precisely because it adds a layer of clarity and tamper-resistance to the document. Can I edit or reprint a receipt after generating it?

This tool does not save your receipt after you close the tab or refresh the page, so you cannot come back later and reload a previously generated receipt to edit or reprint it through the tool itself; instead, keep the downloaded PDF file safely in your own records, since that saved file is the reprintable copy going forward. If you need to correct a mistake immediately after generating a receipt, simply adjust the fields in the form and regenerate a fresh PDF before you hand over or send the incorrect one, since nothing has been transmitted or logged anywhere that would need to be corrected on a server. If an error is discovered after a receipt has already been issued to a customer, the standard practice is not to silently replace it but to issue a clearly marked corrected or revised receipt referencing the original receipt number, so your records show an honest trail of the correction rather than two conflicting documents with no explanation.

Is my payment data sent to a server?

There is no account, login or saved history, so you can record real customer names and payment amounts without any privacy concern, and the receipt generates instantly since nothing needs to travel over a network connection for your data specifically. The only network request involved is fetching the jsPDF library file itself from a content delivery network, which carries no receipt content at all. Once you close the tab or refresh the page, the details you entered are gone unless you have already downloaded the PDF, so save each receipt to your own records as you issue it.
