Most business payments in India now move by NEFT, IMPS, RTGS or UPI, and the bank app gives you a confirmation screen with a UTR. That screenshot is fine for you, but it is not a receipt the other side can file. A supplier who received a transfer wants a signed acknowledgement for their books; a customer who paid an advance wants a document that names the invoice it settles; a landlord, a freelancer or a society treasurer needs a paper record that a transfer of a specific amount on a specific date was received.

This tool produces that document. Enter who paid, who received, the bank and the last four digits of the account, the transfer mode, the UTR or reference number, the amount and the date. We convert the amount into words using Indian grouping (thousand, lakh, crore), lay it out as an A5 or A4 receipt with signature lines for both parties, and let you print it, save it as a PDF from the print dialog, or copy it as plain text to paste into WhatsApp or email.

Two things to know. The receipt is prepared by you, not by a bank; it carries a line that says so, and the UTR is what anyone can verify against a statement. And nothing you type is sent to us, so real names, account digits and amounts stay on your device.

How to use the bank transfer receipt generator

  1. Enter the payer and the payee exactly as they appear on the bank accounts, so the receipt matches the statement narration.

  2. Fill in the bank and the last 4 digits of the account. Never put a full account number on a receipt that may be forwarded around.

  3. Pick the mode (NEFT, IMPS, RTGS or UPI) and paste the UTR or reference number from the bank app or SMS. This is the field that makes the receipt verifiable.

  4. Enter the amount and date, add a remark such as the invoice number, and choose A5 or A4.

  5. Click Preview to check the amount in words, then Print / save as PDF, or Copy as text to send it in a chat.

Why this matters for your business

The UTR settles disputes. A receipt that carries the UTR, amount and date lets either side confirm the transfer in a statement within seconds, which is far quicker than digging through a phone gallery for a screenshot.

Books need a document per payment. Accountants reconcile each bank credit against an invoice or a receipt. A signed acknowledgement that names the invoice keeps the ledger clean at year end and during a GST or income tax query.

Customers expect it. Advance payments for orders, security deposits, consulting retainers and rent are all typically acknowledged in writing. A neat receipt signals that the business is organised.

Tips for better results

  • Copy the UTR from the bank SMS or app rather than typing it; a single wrong character makes the receipt impossible to verify.
  • For NEFT and RTGS the UTR is usually 16 or 22 characters; IMPS uses a 12-digit RRN; UPI shows a 12-digit transaction ID. Any of them works in the reference field.
  • Use the remarks line to name the invoice, order or agreement the transfer settles. A receipt for a bare amount is much less useful six months later.
  • If the transfer is an advance against a GST supply, remember that GST on advances for services is payable when the advance is received; issue a receipt voucher under Rule 50 if applicable.
  • For cash payments use the cash receipt generator instead; the revenue-stamp and cash-limit rules are different.

A real-world walkthrough

A freelance web designer in Pune finishes a website for a trading firm and raises an invoice for Rs 1,25,000. The client pays by IMPS on 26 September and forwards the confirmation screenshot on WhatsApp. The client accountant then asks for a signed acknowledgement to attach to the payment voucher.

The designer opens this tool, enters the client as payer, her studio as payee, the bank and last four digits of her current account, the IMPS reference from the credit SMS, the amount and the date, and writes "Invoice INV/2026/09/031, website design" in remarks. She previews the receipt, confirms it reads "Rupees One Lakh Twenty Five Thousand Only", saves it as an A5 PDF from the print dialog, signs it and emails it back. The accountant matches the UTR against the bank statement and files it the same day.

Frequently asked questions

Is this a bank-issued receipt or transaction certificate?

No. Banks issue their own transaction advices, statements and, on request, a payment confirmation letter; those documents come from the bank system and carry the bank name and authentication. This tool generates a receipt prepared by the payer or payee themselves, which acknowledges that a transfer of a certain amount with a certain UTR was made or received. The receipt says this clearly in its footer so that nobody mistakes it for a bank document. It is the same category of document as a handwritten or Excel receipt, only cleaner, and its evidentiary weight comes from the UTR, which anyone can match against a bank statement, and from the signatures of the parties.

What is a UTR number and where do I find it?

UTR stands for Unique Transaction Reference. It is the identifier a bank assigns to every NEFT, RTGS and IMPS transfer so that both the sending and receiving banks can trace it. For NEFT it is typically a 16-character code starting with the bank code, for RTGS a 22-character code, and for IMPS a 12-digit RRN. UPI payments show a 12-digit UPI transaction ID or reference number that serves the same purpose. You will find it in the confirmation screen of your bank app, in the debit SMS or email, and in the narration column of your account statement. The receiver sees the same number against the credit entry, which is exactly why a receipt should carry it.

Should the receipt show the full bank account number?

It is safer not to. A receipt is often photographed, forwarded on WhatsApp and attached to emails, and a full account number together with the account holder name is the kind of detail phishing and fraud attempts rely on. Showing only the last four digits is enough for the accountant on either side to identify which account was used, while the UTR does the actual work of proving the transfer. That is why the form here accepts only the last four digits. If a counterparty insists on a full account number for a formal record, share it separately over a secure channel rather than on the receipt itself.

Can I use this for NEFT, RTGS, IMPS and UPI alike?

Yes, the receipt format is the same; only the mode label and the reference number style differ. NEFT settles in half-hourly batches and is used for most routine payments. RTGS is for amounts of Rs 2 lakh and above and settles in real time. IMPS works round the clock for instant transfers, typically up to Rs 5 lakh depending on the bank. UPI is the app-based instant transfer with a per-transaction limit of Rs 1 lakh for most uses and higher limits for specific categories. Pick the mode that the bank confirmation shows and paste its reference number; the receipt records it and the payee can verify it against their credit entry.

Does a bank transfer receipt need a revenue stamp?

The one-rupee revenue stamp requirement under the Indian Stamp Act applies to receipts for cash or for cheques and other instruments where the receipt itself is the evidence of payment above Rs 5,000. For electronic transfers the bank record is the primary evidence and the practice of affixing a revenue stamp to an acknowledgement of a NEFT or UPI credit is not common. Many businesses still stamp receipts above Rs 5,000 out of habit or because an auditor asks for it, which does no harm. If your accountant or a government counterparty asks for a stamped receipt, print this receipt and affix the stamp across the signature.

Is a payment screenshot from the bank app enough as proof?

For the payer, the debit entry in their own statement is the strongest proof, and the screenshot is a convenient copy of it. For the payee, a screenshot from someone else phone is weak evidence, because it can be edited and it does not show that the money actually arrived. What the payee should keep is the credit entry in their own statement and, for their customer file, a signed acknowledgement that ties that credit to a specific invoice or purpose. This receipt is that acknowledgement. It is not a replacement for the statement, it is the document that sits in the file alongside it and explains what the transfer was for.

Does the tool save or send my data anywhere?

No. The names, amount, UTR and remarks you type are used only in your browser to render the preview, the print view and the copied text. There is no account, no server call and no stored history; when you close the tab the details are gone unless you have printed, saved or copied the receipt. The print step uses your own browser print dialog, where you can choose Save as PDF as the destination on Chrome, Edge, Safari and Firefox on desktop and on most Android phones. If you want a copy of every receipt you issue, save the PDF into a folder named by month, the same way you would file invoices.

How is this different from the payment receipt and cash receipt generators?

All three produce a signed acknowledgement of money received, but they capture different details. The payment receipt generator is the general-purpose version with a receipt number and a mode dropdown, and it downloads a PDF directly. The cash receipt generator adds an auto-incrementing receipt number, a received-from and towards line, and a revenue stamp box for cash above Rs 5,000.
