What is DNS?

The system that translates a domain name into the server address where a site or email lives.

Definition

DNS, the Domain Name System, is the internet directory that translates a domain name such as sharmasweets.in into the numeric IP address of the server hosting the website. DNS records, managed at your domain registrar or DNS provider, tell browsers where your website lives and tell mail servers where to deliver your email.

Why it matters for an Indian small business

DNS is the invisible link between the domain you pay for and the website or email you actually use. When a business owner says the site is down after moving to a new designer, or email stopped the day the hosting was changed, the cause is almost always a DNS record that was never updated. Understanding the four or five record types that matter means you can verify Google Business Profile ownership, set up a business email on Google Workspace or Zoho, and move hosting providers without losing orders.

It also affects trust: DNS is where SPF and DKIM records live, and without them your invoices and quotations sent from your own domain land in spam, which for a ₹50,000 B2B quotation is an expensive problem.

How it works

Each domain has a zone of records. An A record maps the domain to an IPv4 address (the web server). A CNAME record aliases one name to another, commonly www to the main domain or a subdomain to a hosting platform. MX records list the mail servers that accept email for the domain. TXT records hold verification strings for Google, Meta and email authentication (SPF, DKIM, DMARC).

When someone types your domain, their device asks a resolver, which walks from the root servers to the .in registry to your nameservers and returns the answer. Results are cached for the duration set in the record's TTL, which is why a change can take anywhere from a few minutes to 48 hours to show everywhere.

Example: a Coimbatore machine-tools workshop

Kovai Precision Tools moves its website from a freelancer's shared server to Neweb. The domain stays with the same registrar; only two records change. The A record for kovaiprecision.in is updated to the new server, and the www CNAME is pointed at the new host. The MX records, which send mail to Zoho, are left untouched so quotes keep flowing. A TXT record is added so Google Search Console can verify ownership. The owner lowers the TTL to 300 seconds an hour before the switch so the change propagates in minutes, and customers in Coimbatore and buyers in Pune see the new site the same evening.

Common mistakes

  • Changing nameservers to a new host and wiping out the MX records, so email silently stops.
  • Forgetting to add the www CNAME, so www.yourdomain.in fails while the bare domain works.
  • Not adding SPF and DKIM TXT records, so invoices from your domain go to spam.
  • Leaving the TTL at 24 hours before a migration, then waiting a day for the site to appear.
  • Keeping DNS with an ex-vendor who controls the account.

How Neweb handles it

Neweb manages DNS for domains it registers and gives step-by-step instructions for domains you bring, including the exact A, CNAME and TXT records to add. SSL is issued automatically once records resolve, and Google Business Profile and Search Console verification records are handled during setup.

FAQ

DNS questions

How long does a DNS change take?

Usually minutes to a few hours, up to 48 hours in rare cases. The delay is caching set by the TTL value on the record. Lower the TTL before making changes to speed things up.

What is the difference between a registrar and a DNS provider?

The registrar sells and renews the domain. The DNS provider hosts the zone records. They are often the same company, but you can point nameservers to a different DNS provider such as Cloudflare.

Which DNS record do I need for a business email?

MX records, which name the mail servers for your domain, plus TXT records for SPF, DKIM and DMARC so recipients trust mail from your address.

Do I need to understand DNS to use a website builder?

Not if the builder registers the domain for you. If you bring your own domain, you will add two or three records once, following the builder instructions.

Can a wrong DNS record take my site down?

Yes. A typo in the A record or a deleted CNAME makes the domain unreachable even though the hosting is fine. Always change one record at a time and verify after each change.
