Experience Letter Generator.
Enter the company, employee, designation, dates of employment and a line about conduct. We draft the experience certificate in the format Indian employers issue, ready to print on letterhead, save as PDF or copy into an email. Runs entirely in your browser.
Print on company letterhead, or leave the top block as the letterhead. Only state facts you can support from the employee file: designation, dates and duties. Nothing you type leaves your browser.
What you'll get.
A real example of what this tool produces. Run it above with your own inputs.
An experience letter is the document a former employee uses to prove where they worked, in what role and for how long. Every new employer in India asks for it along with the relieving letter and salary slips, banks and visa officers ask for it to verify employment history, and a trainer, chef, salon stylist or sales executive moving between small businesses often has nothing else to show for years of work. Issuing it promptly is part of a clean exit, and refusing it without reason can land a company before a labour officer.
The format is settled: company letterhead, a reference and date, "To Whomsoever It May Concern", a certification that the person was employed from one date to another in a stated designation, a line on responsibilities, a line on conduct, good wishes, and an authorised signature with seal. This generator produces exactly that from a short form, computes the tenure in years and months, uses the right pronouns, and lets you choose the conduct line or leave it out.
Preview, then print on letterhead or save as a PDF, or copy the text into an email. State only what the employee file supports, because the letter will be checked against it during background verification.
How to use the experience letter generator
Enter the company name and address; this becomes the letterhead block, or leave the address blank if you print on pre-printed stationery.
Fill in the employee name, optional employee ID, how to refer to them, the last designation, department and employment type.
Set the date of joining and the last working day; the letter computes the tenure in years and months.
Add a one-line summary of responsibilities and pick a conduct line, or omit it if company policy is to certify dates only.
Enter the signatory, date and reference, then Preview, Print / save as PDF or Copy.
Why this matters for your business
It is owed to the employee. Under most state Shops and Establishments Acts and the certified standing orders that apply to larger establishments, a worker who leaves is entitled to a service certificate stating the period and nature of employment.
It protects the business. A standard letter that states only verifiable facts avoids later disputes about what was promised, and a reference number ties it to the employee file if a verification agency calls.
Small businesses are checked too. Background verification firms now call gyms, clinics, restaurants and shops to confirm letters; a letter with a date, reference and signatory makes that call short.
Tips for better results
- Issue the experience letter together with the relieving letter and the full and final settlement statement on or soon after the last working day.
- Use the designation held at the time of leaving; if the person was promoted, mention the earlier role in the responsibilities line rather than listing every title.
- Keep the conduct line factual. If performance was poor, choose the satisfactory line or omit it; do not include negative remarks, which invite disputes.
- Number the letter and keep a copy in the employee file so you can confirm it when a verification agency calls.
- An internship certificate uses the same format with the employment type set to internship; add the project or area of work in the responsibilities line.
- Do not state salary in the experience letter; that belongs in the salary slips and Form 16, which the employee can share separately.
Example
A real-world walkthrough
Rohan Deshmukh resigns from FitZone, a gym in Vastrapur, Ahmedabad, after two years as a trainer to join a larger chain, which asks for an experience letter from his previous employer. The gym owner, Kavita Shah, has never issued one before.
She enters the gym name and address, Rohan name and ID, Senior Fitness Trainer in Training, full-time, joining 1 October 2024 and last day 28 October 2026, and a line on his duties. She picks the good conduct line, enters herself as signatory with a reference number, and previews the letter. It reads as a standard experience certificate with the tenure computed as 2 years and 1 month. She prints it on the gym letterhead, signs and stamps it, and hands it over with his relieving letter the same afternoon.
Frequently asked questions
What should an experience letter contain?
A standard Indian experience letter is on company letterhead and carries a date and reference number, the heading To Whomsoever It May Concern, the full name of the employee, the designation held at the time of leaving, the department if relevant, the exact dates of joining and leaving, the nature of employment such as full-time or contract, a brief statement of responsibilities, a line on conduct and performance, a closing wish, and the signature, name and designation of the authorised signatory with the company seal. It should not mention salary, reasons for leaving or disciplinary matters. The generator follows this structure and computes the tenure from the two dates so that the letter and the employee records agree.
What is the difference between an experience letter and a relieving letter?
A relieving letter confirms that the employee has resigned, that the resignation was accepted, that the person was relieved of duties on a specific date and that there are no dues outstanding; it is addressed to the employee and proves a clean exit. An experience letter certifies the period, role and conduct of employment and is addressed to whomsoever it may concern, so that a future employer, bank or visa officer can rely on it. Most companies issue both on the last working day. A new employer typically asks for the relieving letter to confirm that you are free to join and the experience letter to verify your work history. This site has a separate relieving letter generator for the first document.
Is an employer legally required to give an experience letter in India?
There is no single central law that uses the words experience letter, but the Industrial Employment (Standing Orders) Act model standing orders entitle a workman to a service certificate on leaving, and many state Shops and Establishments Acts and rules contain a similar provision for employees of shops, offices and commercial establishments. Courts and labour authorities have consistently treated withholding of a service certificate as an unfair practice. In practice, almost every employer issues one on request once the notice period is served and company property is returned. If an employer refuses, the employee can write a formal request and, failing that, approach the labour commissioner of the state.
Can an experience letter be issued while the employee is still working?
Yes, but it is then usually called an employment certificate or a bona fide certificate and states that the person is currently employed since a certain date in a certain role, without a last working day. Employees ask for it for visa applications, bank loans, rental agreements or admission to part-time courses. The generator is built around the exit case with a last working day; for a current employee, enter today as the last working day and edit the copied text to say currently employed, or ask HR for the bona fide format.
Should the conduct line be included if the employee was asked to leave?
An experience letter should not be used to signal a negative opinion. If the separation was for performance or conduct reasons, the safest practice is to state the facts of employment, dates and designation, and either use a neutral line that conduct was satisfactory or omit the conduct line altogether, which the generator allows. Negative remarks in a letter that the employee will show to future employers can expose the company to a defamation claim and rarely serve any purpose. Any disciplinary record stays in the internal file and is shared only if a verification agency asks a specific lawful question.
Does an experience letter need a company seal or stamp?
There is no statutory requirement, but a seal or rubber stamp alongside the signature is expected by most Indian employers, banks and verification agencies, and letters without one are sometimes questioned. Proprietorships and partnerships use a rubber stamp with the firm name; companies use the common seal or a round stamp. If the letter is sent as a PDF by email, a scanned signature and stamp are generally accepted, and a digital signature certificate is stronger still. Print the generated letter on letterhead, sign in ink, stamp it, and keep a scanned copy with the employee file.
What if the employee had more than one designation?
State the last designation held in the designation field, since that is what the employee will be asked about, and mention earlier roles in the responsibilities line, for example "joined as Fitness Trainer and was promoted to Senior Fitness Trainer in April 2026, responsible for personal training and group classes". If the career history is long, some companies attach an annexure listing each role with dates. The letter should always match the designations in the appointment and promotion letters in the file, because verification agencies compare them.
Does this tool store the letters I generate?
No. The company and employee details are used only in your browser to render the preview, the print view and the copied text; nothing is uploaded, saved or logged. Keep your own copy by saving the PDF into the employee folder with the reference number in the file name, so that you can confirm it quickly when a future employer or background verification agency calls.
