A relieving letter is the employer confirmation that an employee has resigned, that the resignation was accepted, that the person was relieved of duties on a specific date, and that nothing is pending between them. Almost every new employer in India insists on it before the joining date, because it proves the candidate is not absconding from a notice period or holding company property, and because dual employment is a breach of most appointment letters. A clinic receptionist, a software engineer and a store manager all need the same document.

This generator drafts it in the format Indian companies use. Enter the employee and designation, the date of the resignation letter and the last working day, and choose from the options for how the notice period was handled, whether handover was completed, and the status of the full and final settlement. The letter also records company property returned, reminds the employee of continuing confidentiality, and closes with the signatory and seal line.

Issue it on or soon after the last working day, on letterhead, along with the experience letter and the settlement statement. The letter should agree with the employee file; a mismatch between the last working day here and in the payroll record is the most common query from background verification agencies.

How to use the relieving letter generator

  1. Enter the company name and address for the letterhead block, and the employee name, ID, designation and date of joining.

  2. Fill in the date of the resignation letter and the last working day; the employee is relieved from close of business on that day.

  3. Choose how the notice period was handled: served in full, waived, shortfall recovered, or bought out.

  4. Record the handover status, the full and final settlement status and any company property returned.

  5. Enter the signatory, date and reference, then Preview, Print / save as PDF or Copy.

Why this matters for your business

The employee cannot join elsewhere without it. Larger employers will not onboard a candidate without a relieving letter from the previous job, and a delayed letter often costs the person the offer. Issuing it on the last day is a basic courtesy.

It closes the file. A letter that records the notice position, handover and settlement status leaves no room for a later claim that dues are outstanding or that the resignation was not accepted.

It states the date everyone relies on. The last working day in the relieving letter drives the final payslip, the PF exit date in the EPFO system, the gratuity calculation and the experience letter.

Tips for better results

  • Issue the relieving letter only after company property is returned and the handover is signed off; use the pending option if you must issue it earlier.
  • Mark the EPFO date of exit within the same month, otherwise the employee cannot transfer or withdraw the PF and will come back to you.
  • If the notice period was short, state clearly whether the shortfall was waived or recovered; this avoids a dispute when the final settlement arrives.
  • The full and final settlement should normally be paid within 30 days of the last working day; the Code on Wages, once in force, requires it within two working days for certain terminations.
  • Keep the tone neutral even when the exit was unpleasant; the letter is a factual record, not a reference.
  • Send a scanned signed copy by email the same day and give the original with the experience letter when the person comes to collect it.

Example

A real-world walkthrough

Anjali Reddy, front office executive at a dental clinic in Jubilee Hills, Hyderabad, resigns on 28 September to move to another city. The clinic director accepts the one-month notice, she serves it in full, hands over the appointment system and patient files to her replacement, and returns her ID card and keys on 28 October.

The director enters the clinic name, Anjali details, joining date of 1 October 2023, the resignation and last working dates, notice served in full, handover completed, settlement completed, the returned items, and herself as signatory. The preview shows a five-paragraph relieving letter addressed to Anjali with a reference number. She prints it on the clinic letterhead, signs and stamps it, and hands it to Anjali along with the experience letter and the final settlement statement before she leaves.

Frequently asked questions

What is a relieving letter and why do new employers ask for it?

A relieving letter is a formal letter from an employer to a departing employee confirming that the resignation has been accepted and that the employee stands relieved of all duties from a specified date. New employers ask for it because it proves the candidate has properly exited the previous job, served or settled the notice period, returned company property and has no pending obligations. Without it, there is a risk that the candidate is still on the rolls of another company, which breaches the dual employment clause in most appointment letters, or that the previous employer may raise a claim. Many large companies will not release an offer letter or allow joining without the relieving letter from the last employer.

What should a relieving letter include?

It should be on letterhead with a date and reference number, addressed to the employee with their designation and employee ID, and refer to the resignation letter by date. It should state that the resignation is accepted and give the exact last working day, the date of joining, how the notice period was dealt with, whether the handover was completed, whether company property was returned, and the status of the full and final settlement, ideally confirming that there are no dues on either side. A reminder of continuing confidentiality and a closing wish are customary, followed by the signature and designation of the authorised signatory and the company seal. The generator covers each of these elements through its form.

What is the difference between a relieving letter and an experience letter?

The relieving letter confirms the exit: resignation accepted, relieved on a date, notice and dues settled. The experience letter certifies the employment history: period, designation, responsibilities and conduct, addressed to whomsoever it may concern. They are usually issued together on the last working day. Some companies combine them into a single service and relieving certificate, which is acceptable to most employers, but keeping them separate is cleaner because the experience letter is shown widely while the relieving letter contains settlement details. Use the experience letter generator on this site for the second document.

Can an employer refuse to issue a relieving letter?

An employer may hold the letter until the employee has served or settled the notice period as per the appointment letter, returned company property and completed handover, and that is the usual reason for delay. Refusing it after these conditions are met, or using it as leverage in an unrelated dispute, is treated by labour authorities as an unfair practice, and most state Shops and Establishments Acts entitle an employee to a service certificate on leaving. If an employee has absconded without serving notice, the employer can issue a letter stating that the employment was terminated for abandonment, or decline to issue a relieving letter and record the position in writing. For an orderly resignation, issue the letter promptly.

Should the relieving letter mention the full and final settlement?

Yes, at least its status. The cleanest letter says the settlement has been completed and there are no dues on either side. If the settlement is still being processed, say when it will be paid, typically within 30 days of the last working day, so the employee has a date and the company has a record of the commitment. The actual figures, leave encashment, bonus, gratuity, notice recovery and tax, belong in the full and final settlement statement rather than the relieving letter. The generator offers the three common positions: settled, to be settled within a stated number of days, or to be paid with the final payslip.

What if the employee did not serve the full notice period?

Say so plainly and state what was agreed. Either the company waived the balance of the notice period, often when the role was already covered or the employee was asked to leave early, or the shortfall was recovered from the final settlement as per the appointment letter, which usually allows recovery of basic salary for the unserved days, or the employee bought out the notice by paying the equivalent amount. The generator has an option for each. Avoid issuing a letter that is silent on the point, because a verification call from the new employer will ask whether notice was served and the answer should match the letter.

When should the relieving letter be issued and who signs it?

Ideally on the last working day, once handover is signed off and company property is returned, and in any case within a week. Many new employers require it before the joining date, so delay has real consequences for the employee. It should be signed by someone with authority over employment matters: the proprietor or partner in a small business, a director or the HR head in a company, or the reporting manager if company policy allows. The signatory name and designation should be printed under the signature and the company seal applied; the generator leaves space for both.

Does this tool store the letters I generate?

No. The details are used only in your browser to render the preview, the print view and the copied text; nothing is uploaded or saved. Keep your own copy in the employee file with the reference number in the file name, and ensure the EPFO exit date and the final payslip carry the same last working day as the letter.
