What is a Newsletter?

A regular email or WhatsApp update sent to people who opted in.

Definition

A newsletter is a regular message, usually by email and increasingly by WhatsApp, that a business sends to subscribers who have opted in, containing updates, offers, tips or news. It keeps a business in front of existing customers and prospects between purchases and is one of the lowest-cost ways to generate repeat business.

Why it matters for an Indian small business

Acquiring a new customer through ads or SEO costs many times more than bringing an existing one back, and most Indian small businesses have no system for the second. A list of 800 past customers of a boutique, a clinic or a tuition centre, messaged once a month with something useful, produces orders and bookings on demand before every festive season. Unlike Instagram followers, the list belongs to you and reaches people without an algorithm in between.

Email is free or nearly free at small volumes and suits longer content and B2B audiences; WhatsApp broadcasts reach Indian consumers more reliably but cost per message and require explicit opt-in, so most businesses use both.

How it works

Collect subscribers with a short form on the website, a checkbox at billing, a QR at the counter and a line in WhatsApp conversations, always with clear consent. Store the list in a newsletter tool or the WhatsApp Business platform, segment by interest or location when it is useful, and send on a fixed rhythm: monthly for most businesses, fortnightly in peak season.

Content works when it is useful first and promotional second: a CA firm's deadline calendar, a jeweller's gold rate note and new designs, a clinic's seasonal health tips with a booking link. Measure opens, clicks and the bookings or orders that follow, prune inactive subscribers, and honour every unsubscribe immediately as the DPDP Act and sender reputation both require.

Example: a Surat saree boutique

Reshma Silks on Ghod Dod Road collects a WhatsApp number and email at every billing with a tick box for updates. After eight months the list has 1,400 contacts. On the first of each month the boutique sends an email with new arrivals and a WhatsApp broadcast with three photographs and a wa.me link to order. Before Navratri the newsletter announces an early-access preview for subscribers; 160 people visit over two days and the boutique records ₹9 lakh in sales from that message alone. Unsubscribes stay under 1 percent because the messages are monthly and useful.

Common mistakes

  • Adding people without consent, which violates the DPDP Act and gets your number or domain blocked.
  • Sending only discounts, which trains subscribers to ignore you.
  • Irregular sending: three in a week, then nothing for four months.
  • No link to act, so a good message produces no orders.
  • Sending from a personal Gmail address with 500 recipients in BCC.

FAQ

Newsletter questions

Email or WhatsApp newsletter: which is better in India?

WhatsApp has higher open rates with consumers but costs per message and needs strict opt-in. Email is cheaper and suits longer content and B2B. Many businesses use both for different purposes.

How often should I send a newsletter?

Monthly is a safe default for most small businesses. Increase to fortnightly only when you have something worth saying, and keep the schedule predictable.

What should a small business newsletter contain?

One useful item (a tip, a deadline, a how-to), one update (new product, hours, team) and one clear offer or action with a link. Keep it short.

Is a newsletter legal under the DPDP Act?

Yes, with clear consent at signup, a stated purpose, and an easy way to unsubscribe that is honoured promptly. Keep a record of when and how each person consented.

How do I get subscribers?

A form on the website, a checkbox or QR at billing, a line in WhatsApp conversations, and an incentive such as early access or a useful download. Existing customers are the best starting list.
