The WhatsApp Business API, now called the WhatsApp Business Platform, is Meta's interface that lets a business send and receive WhatsApp messages through software rather than a phone app, enabling automated replies, order updates, broadcast templates to opted-in customers and shared inboxes for teams. Access is through Meta directly or a business solution provider.
Why it matters for an Indian small business
WhatsApp is the default channel for Indian customers, and the free WhatsApp Business app serves a single shop well. The API is for the point where one phone cannot keep up: a coaching institute sending fee reminders to 2,000 parents, a clinic confirming 150 appointments a day, a D2C brand sending order and delivery updates automatically, or a sales team sharing one number. It adds a verified business name, chatbots, integration with your website and CRM, and template messages that reach customers reliably.
Cost is per message for business-initiated conversations: marketing templates cost roughly ₹0.80 to ₹0.90 each in India, utility templates such as order updates a fraction of that, and replies within a 24-hour customer-initiated window are free. Providers add a platform fee from a few hundred rupees a month.
How it works
A business applies through Meta Business Manager or a business solution provider such as Interakt, AiSensy, Wati or Gupshup, verifies the business, and registers a phone number that is not used on the WhatsApp apps. Messages the business starts must use pre-approved templates with placeholders; customers must have opted in. Once a customer messages, the business can reply freely for 24 hours.
The platform exposes APIs and webhooks, so a website form can trigger a confirmation, an order status change can send an update, and a chatbot can answer common questions before handing to a human. Providers supply a shared inbox, broadcast tools, analytics and catalogue and payment integration, including UPI payments inside chat in India.
Example: a Jaipur coaching institute
Pink City Academy prepares 1,800 students a year for RAS and bank exams. Fee reminders, timetable changes and result announcements were sent manually from four teachers' phones, inconsistently. After moving to the API via a provider at about ₹1,500 a month plus message fees, the academy sends a utility template for fee due dates, a results template after each test, and a marketing template for new batches to parents who opted in at admission. The website's enquiry form now triggers an automatic WhatsApp with the prospectus and a counsellor's name. Fee collection on time rises from 60 to 85 percent, and the monthly message bill stays under ₹3,000.
Common mistakes
- Using the API for marketing blasts to people who never opted in, which leads to blocks and a quality rating drop.
- Moving a number to the API without realising it can no longer be used in the WhatsApp app.
- Writing templates that get rejected for vague or promotional language in utility categories.
- Paying for the API when the free Business app would do for a single-location shop.
- Not connecting it to the website, so enquiries still need manual follow-up.
How Neweb handles it
Neweb sites include click-to-WhatsApp buttons and enquiry forms that can post to WhatsApp Business API providers, so form submissions trigger an automatic reply, and the Growth plan includes guidance on choosing and connecting a provider.
WhatsApp Business API questions
What is the difference between WhatsApp Business app and the API?
The app is free, runs on one phone and suits small businesses. The API runs on servers, supports automation, multiple agents and bulk templates, and is priced per message, for businesses with volume.
How much does the WhatsApp Business API cost in India?
Meta charges per message: marketing templates roughly ₹0.80 to ₹0.90, utility and authentication templates much less, and replies in a customer-initiated 24-hour window are free. Providers add platform fees from a few hundred rupees a month.
Do I need a developer to use the API?
No. Business solution providers offer no-code dashboards for templates, broadcasts and chatbots. Developers are needed only for custom integrations.
Can customers pay inside WhatsApp?
Yes. In India the platform supports UPI payments in chat through supported providers, and payment links work on any plan.
What is the green tick on WhatsApp?
The verified business badge Meta grants to notable businesses on the platform. It is not automatic and is not required to use the API.
