What is a QR Code Payment?

Paying by scanning a QR code that encodes a UPI ID and, optionally, an amount.

Definition

A QR code payment is a transaction completed by scanning a QR code with a payment app, where the code contains the merchant's UPI ID and optionally the amount and a reference. In India most QR payments run on UPI through the interoperable Bharat QR and UPI QR standards, so any UPI app can pay any merchant's code.

Why it matters for an Indian small business

The QR code is why UPI took over Indian retail: a sticker costs nothing, needs no electricity or device, and works with every app the customer already has. For a business it eliminates change, cuts cash handling and gives a timestamped record of every sale. Putting the same QR on a website, a WhatsApp catalogue, an invoice PDF or a flyer extends it beyond the counter.

The difference between static and dynamic codes matters as a business grows. A static code accepts any amount and relies on the customer typing it correctly. A dynamic code is generated per bill with the exact amount and invoice reference, so reconciliation is automatic and under-payments disappear.

How it works

A UPI QR encodes a UPI URL with the payee's UPI ID, payee name and optional amount, transaction note and reference. The customer's app decodes it, shows the payee name, asks for the UPI PIN and completes the bank transfer in seconds. Static QRs are printed once; dynamic QRs are produced by billing software, a gateway or a tool for each transaction. Bharat QR additionally supports card networks.

Merchants get a soundbox or app notification on payment. On a website, the QR image is shown on the checkout or booking page, often next to a tap-to-pay link for customers already on their phone. Including the amount and a reference in the code is what makes matching payments to orders effortless.

Example: a Vizag seafood restaurant

Bay Catch on Beach Road serves 200 covers on weekends and had queues at the cash counter. Each table now gets a card with a static UPI QR, and the billing software prints a dynamic QR on every bill with the exact amount and bill number. Diners pay from their seats, the soundbox confirms each payment, and the accountant matches bill numbers to UPI references automatically. On the website, the party booking page shows a QR with the ₹5,000 advance prefilled, which replaced bank transfer screenshots sent on WhatsApp. Cash handling fell by more than half and end-of-day reconciliation went from an hour to ten minutes.

Common mistakes

  • Printing a QR from a personal account for business sales.
  • Pasting a QR image with no business name, so customers cannot verify the payee.
  • Using a static QR for high-value or recurring payments where amount errors are costly.
  • Displaying a QR for a UPI ID that has been changed or closed.
  • Not checking the sticker for tampering; replaced QR stickers are a known fraud.

FAQ

QR Code Payment questions

What is the difference between a static and a dynamic QR code?

A static QR has a fixed UPI ID and accepts any amount the customer enters. A dynamic QR is generated per transaction with the amount and reference embedded, which prevents errors and automates reconciliation.

Can I create a UPI QR code for free?

Yes. Your UPI app can generate one, and free tools let you add your business name and a fixed amount for printing or your website.

Does a QR code payment cost the business anything?

Standard UPI QR payments carry no merchant discount rate. Soundboxes and some aggregator services have a small monthly fee.

Can a QR code be used on a website?

Yes. Display the QR image on checkout or booking pages; customers on a computer scan it with their phone, and mobile visitors can use a tap-to-pay UPI link instead.

How do I know a payment was received?

Through your UPI app notification, a soundbox, or the gateway dashboard. Dynamic QRs with references make it easy to match each payment to an order or bill.
